Plan and Cautionary Notes

1. The joint symposium this year will be held ONLINE using Zoom.

2. Zoom ID & PW will be sent ONLY to the registered participants. Thus, registration is indispsensable for participation (including speakers and chairs).

3. Presentations and questions

(1) Program is uploaded at the site shown above. The presentation time is indicated in the program.

(2) Participants are reuqested to mute your microphone. To ask questions, please input to "Chat" (e.g. I have a question). Following the appointment by the chairperson, please turn on your microphone and video, and ask questions.

4. Cautionary Notes

(1) Presentation contents may include unpublished data. Thus, we request you to take resonsibility for maintaining confidentiality.

(2) It is prohibited to record presentation contents by any means, including screen capture.

(3) Please do not let others (including non-registered members in your lab) know the Zoom ID & PW.

(4) Please join the meeting using one computer for each participant.

(5) Please indicate your registered name and institution in English when you enter Zoom meeting. (e.g. Yoshihiro Kubo (NIPS))

(6) Please be mindful so that the monitor screen and sound are not accessbile by others.

Personal information collected by this website is used for the operation of the research meeting.

2. Scope of information sharing

In principle, personal information collected by this website is only shared within the meeting office, meeting organizers and Okazaki Administration Center of the National Institutes of Natural Sciences. However, as this meeting is intended to be a regular event, we may disclose personal information to the future organizer and meeting office responsible for the following yearfs meeting if necessary, and only if the present meeting office judges the future organizer and meeting office to be trustworthy persons.

3. Disclaimers on disclosure of information

In principle, we will not disclose personal information collected by this website to a third party without your consent. However, we may disclose information when requested by a court of law in accordance with the law.

4. Usage of information

Personal information collected by this website will be used for the following purposes.

(1) Creation of a list of meeting participants

(2) Preparation of abstracts for the research meeting. We will use the names and affiliations of the lecturers and the collaborators.

(3) Presentation of programs on the website. We will use the names and affiliations of the lecturers.

(4) Preparation of the implementation report on the research meeting which will be submitted to NIPS. This report will include the names and affiliations of the lecturers, the collaborators and all of the participants. This report will be printed and published on the web.

(5) Implementation of administrative procedures for operating the research meeting. We will use the names and affiliations of all participants.

(6) In the presentation abstract file, the names of the presenter and collaborators as well as the institution name(s) will be described.

(7) The names of the presenter and collaborators as well as the institution name(s) will be described in the NIPS annual report on the web.

5. Information Management

(1) Personal information collected by this website is managed in accordance with the National Institutes of Natural Sciencesf gRules for the Protection of Personal Informationh and gInformation Security Policyh.

(2) Email will be used as a means of sharing information within the administration.

(3) The information you provide will be treated as public information.

6. Taking snapshots and their usage

(1) We will take screen snapshots of the livestream during the online lectures and online social gathering of this meeting. These snapshots are used only to keep a record of the research meeting.

(2) In principle, we will not disclose the snapshots to a third party without your consent. However, we may disclose the snapshots when requested by a court of law in accordance with the law.

(3) We will delete any snapshots containing your image upon direct request.
